Privacy Policy

Arithex is built for small-business owners, and we treat your business data the way we would want ours treated. This policy explains what we collect, why, and the choices you have. In plain language: your data is yours, we do not sell it, and we use it to provide the service you signed up for.
1. Who we are
Arithex (“Arithex,” “we,” “us”) provides an AI-powered business intelligence tool that analyzes spreadsheet data you upload and, on paid tiers, helps you send client messages. This policy applies to the Arithex website and application.
2. Information we collect
Account information. When you create an account, our authentication provider collects your email address and basic profile details so you can sign in securely.
Business data you upload. The spreadsheet files you upload (such as appointments, sales, expenses, and invoices) and the analysis generated from them. This may include the names and email addresses of your own clients if your files contain them.
Sender identity. If you use auto-send, the business name and reply-to email you choose to display on outgoing messages.
Payment information. When you subscribe, our payment processor collects your billing details. We do not receive or store your full card number.
Usage information. Basic technical information such as log data needed to operate, secure, and improve the service.
3. How we use your information
We use your information to:
• Provide the service — clean your data, generate your reports, and, when you approve it, send the messages you have reviewed.
• Operate your account, process payments, and manage your subscription.
• Maintain the security and reliability of the service.
• Respond to your requests and provide support.
We do not sell your data, and we do not use the contents of your uploaded business files to advertise to you or your clients.
4. Service providers we use
We rely on trusted third parties to run Arithex, and we share only what each needs to perform its function:
• Authentication — to manage secure sign-in and your account identity.
• Payment processing — a PCI-compliant processor (Stripe) that handles your card details directly; we never store your full card number.
• Hosting and database — to run the application and store your account data and reports.
• Email delivery — to deliver the messages you approve on paid tiers.
• AI model provider— when you ask Ari a question, the figures from the report you are viewing are sent to a third-party AI model provider so an answer can be written. Only what is needed to answer is sent, and under our agreement it is not used to train that provider’s models.
These providers act on our behalf and are bound by their own security and privacy obligations.
5. How your client data is handled
If your uploaded files contain your clients’ names or email addresses, Arithex uses them only to generate your reports and to send the specific messages you review and approve. Your client data is tied to your account, is not visible to other Arithex users, and is not sold or shared for others’ marketing. When Arithex sends a message on your behalf, it is addressed from your business name with replies routed to you.
6. Ari, and automated monitoring
Two parts of Arithex process your data in ways worth stating plainly.
Ari is the assistant inside the app. When you ask it something, the figures from the report you are looking at — which can include your clients’ names, visit dates and spend — are sent to an AI model provider so an answer can be written. Your questions and Ari’s answers are stored against your account so the conversation continues between visits. You can clear that history at any time from the Ari panel, and clearing it deletes it.
Ari only ever receives your own data. It has no access to any other customer’s business, it cannot browse the internet, and it cannot take actions on your behalf.
The Guardian, on the Command plan, checks your client list on a daily schedule and emails you a weekly briefing. That means we process the client data already in your account even when you are not signed in — that is the feature working. It stops when you downgrade, turn off email alerts, or delete your account.
7. Data retention
We retain your account information, uploaded data, reports and Ari conversations for as long as your account is active, so the service can function and your history is available to you. You may request deletion of your account and associated data at any time (see “Your choices” below). Some limited records may be retained where required for legal, tax, or security purposes.
8. Your choices and rights
• Access and correction — you can view and update your account details from within the app.
• Deletion — you can request that we delete your account and associated data by contacting us at the address below.
• Cancellation — you can cancel your subscription anytime from your billing portal; see our Terms and FAQ.
Depending on where you live, you may have additional rights over your personal data under applicable law. We honor valid requests to exercise those rights.
9. Security
We use reputable providers and reasonable technical measures to protect your data, including encrypted connections and secure authentication. No method of storage or transmission is perfectly secure, but we work to protect your information and to limit access to it.
10. Children
Arithex is a tool for businesses and is not directed to children. We do not knowingly collect personal information from anyone under 18.
11. Changes to this policy
As Arithex grows, we may update this policy. When we make material changes, we will update the “last updated” date above and, where appropriate, notify you.
